Scope and Contents note

Records of the Campus Planning and Facilities office which include project files, administrative files, aerial photographs, an architectural model, and general files on campus buildings and grounds.

Series I contains materials pertaining to buildings: construction, renovation, and demolition. Types of materials include: correspondence, funding documents and financial information, proposals, site plans, surveys, floor plans, reports, maps, and a trace number of photographs. Files are arranged by building name and in some cases, the files reflect repurposing and multiple renamings.

A number of buildings on campus were constructed simultaneously and files are sometimes intermixed; for example, Strozier and Cobb. Also, files with the title, “Academic Center” pertains to a cluster of buildings including Library, Social Science, and Math-Physics.

Series II documents property acquisitions, timber sales, campus maps (primarily from the 1960s and 1970s), road construction, parking lots, electrical distribution centers, landscaping, recreational and athletics areas (like tennis courts and tracks). Files also include materials about asbestos and asbestos removal projects. A portion of these files are administrative in nature (not specific project files) and many contain the name of the staff member responsible for their keeping. A Third Accession is composed of aerial photographs of campus and an architectural model of buildings within the Academic Quad.

Biographical/Historical note

The Department of Campus Planning and Facilities is a division of the University of West Georgia’s Business and Finance Department. The duties of Campus Planning and Facilities include enhancing the campus grounds, facilities, and environment. The department provides such services as logistics, maintenance, construction planning, risk management, and environmental health and safety.

Arrangement note

Series I. Buildings; Series II. Campus Grounds and Administrative Files; Series III. Blueprints and Maps; Series IV. Second Accession.

Series I and IV are files roughly arranged in alphabetical order by building name. Series II contains a variety of files which are unarranged. Series III are oversize maps and blueprints.

The Third Accession contains aerial photographs and an architectural model.

Immediate Source of Acquisition note

Transferred from the Vice President of Business and Finance, Campus Planning and Facilities at an unknown date with additional accruals in February 2016.

Processing Information note

In January 2015, Series I of this collection was re-housed, weeded and substantially rearranged by volunteer, Carol Kensel. Weeded from the collection were receipts, equipment manuals, and non-substantive correspondence. A selection of catalogs and “loose equipment” files for buildings were retained.

Previously the collection, measuring over 40 linear feet, was disorganized and a large portion of the materials were filed alphabetically under “P” for project without other information to guide researchers as to which buildings the files pertained to. Project numbers, as applicable, were retained on file titles.
